Microsoft 365 Copilot Administrator Job Description

A Microsoft 365 Copilot Administrator deploys and governs Microsoft's Copilot assistant inside an organization's Microsoft 365 tenant: fixing overshared SharePoint and OneDrive content before Copilot can surface it, setting Purview labels and guardrails, managing licenses and agents, and reporting on adoption. The role sits in IT, usually alongside the Microsoft 365, security and compliance teams, and is a specialization of Microsoft 365 administration rather than a separately counted occupation. BLS's closest occupation, network and computer systems administrators, paid a May 2025 median of $99,130, with the 10th to 90th percentile running from $62,640 to $155,050.

AI impact (through 2030)
The role exists to govern an AI assistant; tools speed up finding overshared content, but access decisions remain human judgment.

Duties and responsibilities

  • Run SharePoint data access governance reports to find sites and files overshared through organization-wide links before Copilot licenses are assigned.
  • Apply Restricted Access Control or Restricted Content Discovery to high-risk sites as interim protection while site owners fix underlying permissions.
  • Configure Microsoft Purview sensitivity labels, auto-labeling and data loss prevention policies so Copilot handles labeled content according to organizational policy.
  • Plan Copilot license rollout by group, assign licenses through Microsoft Entra groups, and reclaim seats that sit unused for agreed periods.
  • Control which Copilot experiences and agents are enabled for which users, and run the review process before agents are shared organization-wide.
  • Track adoption with the Copilot reports in the Microsoft 365 admin center and the Copilot Dashboard, and publish a monthly readout for leadership.
  • Review Microsoft Purview audit logs for Copilot activity to answer security, legal and eDiscovery questions about prompts and referenced content.
  • Write and maintain the organization's Copilot acceptable-use policy with security, legal and records staff, and keep it current as features change.
  • Script bulk permission, site and license changes with PowerShell and Microsoft Graph, and document every change for audit and rollback.
  • Partner with training and change-management leads on pilot groups, prompt workshops and department champions to turn licenses into measurable use.

Overview

A Microsoft 365 Copilot Administrator owns the part of a Microsoft 365 tenant that decides what Copilot can see, who gets it, and whether anyone is using it. The job exists because of one design fact Microsoft states plainly: Copilot works by "grounding responses in the data users already have permission to access." Every stale sharing link, every SharePoint site opened to the whole company years ago, every Teams channel nobody cleaned up can surface through a chat prompt once licenses go live. The Copilot administrator's first deliverable is a tenant where that is no longer a problem.

Oversharing cleanup comes first

Microsoft's secure-and-governed deployment blueprint for Copilot is organized into three pillars: remediate oversharing, set up guardrails, and meet regulations. In practice the administrator works through SharePoint Advanced Management (SAM), which Microsoft includes with the Copilot license, and Microsoft Purview. The working tools are specific:

  • Data access governance reports in the SharePoint admin center, which surface items such as sharing links shared with "Everyone except external users" and the sensitivity labels applied to files.
  • Restricted Access Control, which limits a site and its content to users in a specified control group, built from Microsoft 365 groups or Microsoft Entra security groups.
  • Restricted Content Discovery, which limits discovery of a site's content in organization-wide search and Copilot responses without changing anyone's permissions. Microsoft describes it as a temporary governance control that buys time to right-size access while the deployment continues.
  • Microsoft Purview, which Microsoft says provides tools to prevent data loss, mitigate insider risk and support compliance for both Copilot at runtime and the Microsoft 365 data Copilot references. Sensitivity labels and data loss prevention policies are set here.

Licensing, rollout and agents

The administrator plans which groups get licenses first, assigns and reclaims them, and decides which Copilot experiences and agents are turned on for which users. That includes reviewing agents before they are published to the organization and setting who may build them. The work sits in the Microsoft 365 admin center, the SharePoint admin center, the Microsoft Entra admin center and the Purview portal, often in PowerShell when a change has to hit hundreds of sites at once.

Measuring adoption

A Copilot license is a recurring cost, so leadership wants to know whether people use it. Microsoft gives the AI Administrator role access to the Copilot reports in the Microsoft 365 admin center, which focus on license eligibility, adoption and basic usage metrics, and lets that role turn on the Copilot Dashboard in Viva Insights. The administrator turns those numbers into reclaim lists, training targets and a short monthly readout for the business owner.

Who the role works with

The administrator sits between the security team (which wants less exposure), the records and legal staff (who care about retention and eDiscovery), department heads (who want their people licensed), and the change-management or training lead who runs prompt workshops. Unlike a general Microsoft 365 or Exchange administrator, this person spends less time on mailboxes and tenant plumbing and more time on data exposure, AI policy and proof of value.

Qualifications

As a rough guide, people move into Copilot administration after 3 to 5 years of hands-on Microsoft 365 work: SharePoint and OneDrive administration, Exchange Online, Teams, or identity work in Microsoft Entra. A bachelor's degree in information systems, computer science or a related field is a common starting point, though hands-on tenant experience can matter as much as the degree. The core test for this role is simple: can this person find and fix overshared content without breaking how the organization works?

Technical skills that matter

  • SharePoint permissions in depth. Site inheritance, sharing links, Microsoft 365 group membership, and the difference between who can open a file and who can find it. Microsoft's oversharing controls work by restricting who can reach content, so permissions knowledge is the core skill.
  • Microsoft Purview. Sensitivity labels, auto-labeling, data loss prevention, retention, audit and eDiscovery. A Copilot administrator who cannot read a Purview audit log will struggle to answer the security team's questions.
  • Microsoft Entra ID. Groups, conditional access, role assignment and license assignment through group membership.
  • PowerShell and Microsoft Graph. Bulk site changes, license reporting, and exporting report data for analysis in Excel or Power BI.
  • Copilot and agent controls. Knowing which experiences are on for which users, how agents are approved and shared, and how Copilot Studio fits in.

Certifications

Microsoft's own certifications map directly to this work, and the lineup is shifting.

  • Microsoft 365 Certified: Copilot and Agent Administration Fundamentals (Microsoft). Earned through exam AB-900, a 45-minute proctored exam. It assesses core Microsoft 365 features, data protection and governance tasks for Microsoft 365 and Copilot, and basic administrative tasks for Copilot and agents. It is a beginner-level credential, so it works as a floor rather than proof of senior skill.
  • Microsoft 365 Certified: Administrator Expert (Microsoft). Earned through exam MS-102. Microsoft scheduled both the exam and the certification to retire on November 30, 2026, after which they can no longer be earned or renewed, so check Microsoft Learn for current options.
  • Microsoft Certified: Information Security Administrator Associate (Microsoft). Earned through exam SC-401; Microsoft describes the role as planning and implementing information security for sensitive data with Microsoft Purview, which matches the Purview half of the job.
  • CompTIA Security+ (CompTIA). Useful general security grounding.

Soft skills

The best Copilot administrators can explain to a department head why their site is being locked down without sounding like they are taking something away. They write short, plain policies, run pilot groups, and keep a log of every interim restriction so it gets lifted once the underlying permissions are fixed. They also need patience with ambiguity, and the habit of reading Microsoft's documentation updates and message center posts every week.

Career outlook

The Bureau of Labor Statistics does not count Copilot administrators separately. Its closest occupation, network and computer systems administrators, had 314,340 jobs in May 2025, with a median annual wage of $99,130. That occupation covers everything from server and network administration to Microsoft 365 work, so it describes the broader labor pool the role draws from rather than this title alone.

A specialization Microsoft has formalized

Microsoft has organized administration of the product around named roles and tools. Microsoft lists a dedicated AI Administrator role as the one that accesses the Copilot reports in the Microsoft 365 admin center and enables the Copilot Dashboard in Viva Insights. Microsoft also points admins to Purview audit logs for detailed records of Copilot activity for compliance tracking and security audits. The admin reports include views such as top agents, which identifies the most frequently used Copilot agents, and agents fall within the administrator's scope alongside chat. Data in the Copilot usage report typically becomes available within 48 hours of the end of each day.

The credentials moved the same way. Microsoft now offers Microsoft 365 Certified: Copilot and Agent Administration Fundamentals (exam AB-900), while the Microsoft 365 Administrator Expert certification and its MS-102 exam were scheduled to retire on November 30, 2026. For a working administrator, the generalist expert credential has an end date while the newer credential focuses on Copilot and agents.

Public-sector pricing

Federal buyers got a direct push toward Copilot. On September 2, 2025, the General Services Administration announced a OneGov agreement with Microsoft that made Microsoft 365 Copilot available at no cost for up to 12 months for Microsoft G5 customers, alongside discounts on a new government-only Microsoft 365 + Copilot Suite. SharePoint Advanced Management, the toolset used for oversharing cleanup, lists Microsoft 365 GCC, GCC-High and DoD among its qualifying base licenses. For any agency that took the offer, the no-cost period runs at most 12 months, and what to keep paying for after that is the usage and value question this role answers.

Where pay sits

Public pay classifications can name the broader platform rather than Copilot. Shasta County's Information Technology O365 Administrator classification, revised September 10, 2025, lists a range of $82,992 to $105,924 a year. That is one county's table, an example rather than a market bound.

How AI changes the job itself

The irony of the role is that it exists to manage an AI product, yet the decisions at its center are not ones a setting makes. Microsoft's own blueprint frames the work as admin actions: identify high-risk sites and files, apply interim access restrictions if needed, fix access issues, and keep guardrails enforced. Deciding whether a finance site should be visible to the sales team is a judgment about the business, not a setting Copilot can pick. Tools in SAM and Purview speed up the finding; the fixing, the exceptions and the conversation with the site owner remain human work.

Paths forward

Copilot administrators can move toward Microsoft 365 architect roles, Purview and information-protection specialties, security engineering, or AI governance positions that span more than one vendor. The common thread is a record of having reduced real data exposure in a live tenant, with the reports to show it.

Sample cover letter

Dear Hiring Manager,

I am applying for the Microsoft 365 Copilot Administrator position. For the past four years I have administered SharePoint, OneDrive and Teams for a regional health system, and for the last year I led the technical side of our Copilot pilot. I would like to bring that work to your organization as you expand licenses beyond your first group of users.

When our pilot started, the first thing I did was not assign licenses. I ran the data access governance reports in the SharePoint admin center and found a long list of sites shared with everyone in the organization, including two that held HR investigation files. I worked with each site owner to fix permissions, used Restricted Content Discovery to limit Copilot discovery of a handful of sites while that cleanup finished, and kept a log so every temporary restriction was lifted once the permissions were right. Our security lead signed off on the pilot because she could see exactly what had changed and why.

On the adoption side, I built a monthly report from the Copilot usage data in the admin center and paired it with short training sessions for the departments that were lagging. When licenses sat unused for two months, I reclaimed them and reassigned them to teams on the waiting list. I also set up the approval process for agents, so a department could request one and know who would review it.

I hold the Microsoft 365 Certified: Copilot and Agent Administration Fundamentals credential and work daily in Purview, Entra and PowerShell. I am comfortable explaining a permissions change to a nurse manager or a CFO in plain language.

I would welcome the chance to talk about your rollout plans and where I could help.

Sincerely, Jordan Reyes

Frequently asked questions

What does a Microsoft 365 Copilot Administrator do?
What are the main duties of a Microsoft 365 Copilot Administrator?
Core duties include: run SharePoint data access governance reports to find sites and files overshared through organization-wide links before Copilot licenses are assigned; apply Restricted Access Control or Restricted Content Discovery to high-risk sites as interim protection while site owners fix underlying permissions; and configure Microsoft Purview sensitivity labels, auto-labeling and data loss prevention policies so Copilot handles labeled content according to organizational policy.
How is a Microsoft 365 Copilot Administrator different from a Microsoft 365 or Office 365 administrator?
A general Microsoft 365 administrator, in Microsoft's own description, functions as the integrating hub for all Microsoft 365 workloads. A Copilot administrator works on a narrower and newer problem: making sure Copilot only surfaces content people should see, controlling agents, and proving the licenses are used. In smaller organizations one person may do both jobs.
What does oversharing mean in a Copilot deployment?
Copilot answers from data the signed-in user already has permission to access, so any file that is technically open to that user can appear in a response. Oversharing is content that is open far more widely than intended, such as a site shared with everyone in the company. Administrators find it with SharePoint data access governance reports and contain it with tools like Restricted Access Control while permissions are fixed.
Will AI tools automate the work of a Microsoft 365 Copilot Administrator?
Microsoft's tools speed up finding risky sites and files, but its own deployment blueprint still frames the job as admin actions: identify high-risk content, apply interim restrictions, fix access, and enforce guardrails. Deciding who should see a given site is a business judgment, so the fixing and the conversations with site owners stay with people.
Which certifications should a Microsoft 365 Copilot Administrator pursue?
Microsoft offers Microsoft 365 Certified: Copilot and Agent Administration Fundamentals, earned through exam AB-900, which covers data protection, governance and basic administration for Copilot and agents. The Microsoft 365 Administrator Expert certification and its MS-102 exam were scheduled to retire on November 30, 2026, so check Microsoft Learn for current options.
How much does a Microsoft 365 Copilot Administrator make?
BLS does not report this title separately. Its closest occupation, network and computer systems administrators, had a May 2025 median of $99,130, with the 10th percentile at $62,640 and the 90th at $155,050.
